Important Notice: Hawkins Hall Renovations

As you have heard by now, Hawkins Hall will be undergoing several large renovation projects over the summer that will necessitate moving all faculty and staff from the building. The projects scheduled to be completed are the installation of a sprinkler system throughout the building, replacement of old ceiling tiles and light fixtures, renovation of the bathrooms, replacement of windows, replacement of remaining old doors, and removal of the automatic door closers. I understand the huge inconvenience of having to pack up office and storage areas and truly appreciate everyone’s time and effort. In an attempt to make this as easy as possible, we have been working closely with facilities management to organize the move.

Moving boxes and labels are already available in one central location on each floor of Hawkins Hall. Several recycling “mondos” have also been placed on each floor and will be emptied regularly and we have requested large trash bins for each floor as well. We are also working on scheduling a “shred day” to assist in disposing of any sensitive documents you may have. More information will be shared as we receive it. Please find below and attached some helpful guidelines from facilities and COE related to packing. Department chairs also received more detailed instructions about what has to be packed for each office. While we are hopeful that we will get back into Hawkins Hall in early August, I would recommend you take with you any materials you think you might need to prepare for teaching your fall classes just in case we cannot get back in until right before classes begin. During the renovation, we will have a workroom with a printer and computers set up on the 3rd floor of the Psychology Building for faculty use.

Hawkins Hall must be completely packed by end of day on May 23, 2017 so that movers can begin working on May 24, 2017. We understand how close this is to the end of final exams, but need to begin as soon as possible to ensure we are back in the building before classes begin in August.

PACKING INSTRUCTIONS

  1. CARDBOARD BOXES/CARTONS – Will be available on each floor in designated areas. Call Kelly McNeill (4-4056) in the Dean’s office to request more if there are none available. Be sure to properly assemble and seal each box along the bottom seam with two strips of box-sealing tape. PLEASE HELP US TO RECYCLE BY REUSING WHEN UNPACKING. After unpacking, fold cartons flat, place in a central area, and mark or label as “NOT TRASH.”
  1. PLASTIC PACKING CRATES – Large, blue plastic packing crates are available and preferred for packing office materials that will stay ON CAMPUS. Please request these crates from Kelly McNeill (4-4056). Be sure to keep ALL crates LOCKED in your office – they SHOULD NOT be left in the hallways, even if they are empty.
  1. PERSONAL ITEMS – The mover cannot be responsible for your personal possessions. For your own protection, we suggest that you move these items yourself. Personal items that are being taken OFF CAMPUS should be packed into the cardboard box/carton.
  1. DESKS AND CREDENZAS – Pack all contents.

TIP Seal paper clips, pencils, and all other loose materials in envelopes and then pack them in cartons. Protect all glass with paper or other stuffing’s. Leave glass tops and pads on the top of desks for the mover.

  1. FILE CABINETS – Lock all. Standard drawer cabinets will be moved intact. Tighten compressor to hold contents.
    1. Later Files must be emptied
    2. Stackable Files will probably be disassembled if they are connected. In addition to an area number label, an alphabetical designation should be used to assist in returning cabinets to proper order, for example “3A,” “3B,” etc.
  1. SUPPLY STORAGE CABINETS, BOOKCASES, COAT RACKS, AND LOCKERS – Pack all contents in cartons. Cabinet doors should then be locked, taped, or tied.
  1. COMPUTERS AND OFFICE MACHINES – DO NOT PACK THESE MACHINES! Leave the machines on top of their desk or stand. All machines must be unfastened and disconnected (Andy, Debbie, and Duane will assist with this). Pads and covers for machines should be placed in carton. Mover will give particular attention to all these units.
  1. KEYS – Where locks and keys are available for any items being moved, keys should be wire tagged and coded to the locks they fit and packed in a safe place with you.
  1. PICTURES, WALL SHELVES, MAPS, AND BULLETIN BOARDS – If secured, have Facilities Management staff remove these items from the wall. Label each piece. Place them on end, back-to-back in carton. If the item does not fit in a carton, lean it against the wall and the mover will take it from there. Consolidate small pictures in container. Cushion with packing material, e.g. newspaper.
  1. ELECTRONIC DATA – All computer data should be backed up and all storage media (e.g. discs, tapes) should be adequately packed. Andy and Duane will provide detailed instructions for backing up your computers.

LABELING

  1. MARKING LABELS – Each floor has been assigned specific packing labels that are color-coded. One administrative assistant per floor has been given all of the labels for that floor. Please see below to determine where to obtain your packing labels. To ensure all of your belongings return to the correct office, it is important to use the correct color-coded labels.
    1. 4th Floor – Josie Irvine
    2. 3rd Floor – Mylin King
    3. 2nd Floor – Ruth Hipkins
    4. 1st Floor – Tracey Cotton
    5. Lower Level – Julie Uhl
  1. SPECIAL TYPES OF FURNITURE – Such as “L” desks and conference tables may need to be dismantled. If so, be certain that all sections of the pieces of furniture to be dismantled have separate labels with the same information.
  1. LABEL PLACEMENT – Place labels in a uniform manner. The mover requires this uniformity to quickly and efficiently replace your furniture and equipment. Do not place on fabric or other non-stick surfaces. On boxes, apply label to one end.
  1. ITEMS NOT MOVING – Do not label.
